This feature provides flexibility for managing access to shared amenities and spaces by defining who can book and how far in advance.\nReservation Policies must be created and managed at the site level, and then selectively applied to amenity spaces.\n⚡ Note: If you would like to activate Reservation Policies at your building, please reach out to your CSM or to our Support Team. ⚡\nIn this article:\n\nCreating a Reservation Policy\n\nAssigning Reservation Policies to Spaces\n\nHow Reservation Policies Apply to Users\n\nPolicy Priority\n\nExamples\n\nCreating a Reservation Policy\nReservation Policies are created at the site level and can be edited or archived at any time.\n\nOnce Reservation Policies has been turned on by your CSM or by our Support Team, the Reservation Policies sub-page will appear in the Reservation Setup section.\n\nClick on Reservation Policies and +New Policy in the upper right corner.\n\nFill out the form:\n\nName: A descriptive label for the policyClick Save.\n\nMinimum booking window: Earliest a user can book before the start time\n\nMaximum booking window: Furthest in advance a user can book\n\nTenants (optional): Restrict policy to one or more tenants\n\nMinimum booking window: Earliest a user can book before the start time\n\nUser Tags (optional): Restrict policy to users with specific tags\n⚠️ If both tenants and tags are defined, the user must meet both conditions for the policy to apply.\n\nClick Save.\n\nTo delete a Reservation Policy, click on the trash can icon next to the policy name. When a policy is deleted, it is automatically removed from any spaces where it was applied.\nAssigning Policies to Spaces\nAfter a Reservation Policy is created at the site level, it must be applied to one or more spaces:\n\nNavigate to Amenity Setup.\n\nClick on the name of an Amenity Category, and the the name of an Amenity Space.\n\nScroll down to the the Booking Constraints section and find the Reservation Policies dropdown.\n\nSelect the Reservation Policy (or policies) you want to apply.\n\nSave changes.\n\nHow Policies Apply to Users\nWhen a space has Reservation Policies applied:\n\nThe system checks for matching policies based on the booking user.\n\nIf tenants and tags are both set, the user must meet both.\n\nIf only tenants or tags are set, the user must match that setting.\n\nIf neither is set, the policy applies to everyone.\n\nPolicy Priority\nIf multiple Reservation Policies apply to the same user, the system follows the policy order set at the site level.\n\nPolicies can be reordered so that the highest priority policy is at the top.\n\nThe top-most matching policy will override others.\n\nTo reorder Reservation Policies, click on the up and down icons in the Display Order column. The up icon will move the policy up, and the down icon will move the policy down.\n\nExamples\n\nExample #1\nThe Quincy Room is configured so that users can reserve it only 7 days in advance.\nWe want to keep this setting for most users, but allow members of the ABC Company tenant to be able to reserve the space up to 30 days in advance. To do this, we’ll create a Reservation Policy:\n\nCreate a new Reservation Policy for the ABC Company tenant.\n\nSet the maximum booking window to 30 days.\n\nApply it to the ABC Company tenant.\n\nLeave User Tags blank, since this rule only needs to apply to the tenant (not to a tagged subset of users).\n\n2. Assign the new Reservation Policy to the Quincy Room amenity space.\n3. Save your changes.\nOnce saved:\n\nUsers from other tenants will still only be able to book the Quincy Room 7 days in advance.\n\nUsers associated with the ABC Company tenant will now be able to book the Quincy Room 30 days in advance.\n\nExample #2\nIn addition to ABC Company tenants having advanced reservation access, we also want to allow any user in our directory with the VIP User Tag to reserve the Quincy Room up to 45 days in advance.\nTo do this, we’ll create a separate Reservation Policy:\n\nCreate a new Reservation Policy for VIP users.\n\nSet the maximum booking window to 45 days.\n\nLeave the Tenant field blank (since this should apply to any user with the VIP tag, regardless of tenant).\n\nAdd the VIP User Tag to the policy.\n\nAssign the new Reservation Policy to the Quincy Room amenity space.\n\nSave your changes.\n\nOnce saved:\n\nUsers from other tenants without the VIP tag will continue to follow their tenant rules (e.g., ABC Company = 30 days, all others = 7 days).\n\nAny user with the VIP User Tag will now be able to book the Quincy Room up to 45 days in advance, no matter which tenant they belong to.\n\nIf a user belongs to the ABC Company and also has the VIP tag:\n\nIf the VIP policy is ordered above the ABC Company policy → the user can book up to 45 days in advance.\n\nIf the ABC policy is ordered above the VIP policy → the user can book up to 30 days in advance.","capture_id":"21ad8e45f7d347b30e5ab822a90478e309e3db86bdba391d0bc60db8cb6d541f","captured_at":"2026-10-12T13:26:58.329Z","published_at":null,"indexed_at":"2026-10-12T13:26:58.369Z","truncated":0,"scope_tier":"primary","monitor_reason":"","last_error":null,"last_attempt_at":"2026-10-12T13:26:57.811Z","enabled":1,"evidence_notes":[],"text_available":true,"media":["https://support.cove.is/hc/article_attachments/41765999327252","https://support.cove.is/hc/article_attachments/41765999329684","https://support.cove.is/hc/article_attachments/41765594982420","https://support.cove.is/hc/article_attachments/41765594983060","https://support.cove.is/hc/article_attachments/41765594988692","https://support.cove.is/hc/article_attachments/41765594989460","https://support.cove.is/hc/article_attachments/41765594990740"],"interpretation":"Unreviewed source evidence.
