Visitor check-in can be completed manually from the Dashboard or automatically through access control, depending on how the property is configured.\nThe Visitors module is accessible to Building Admins, Building Managers, Security Managers, and Tenant Security Managers. All roles can check in visitors, print badges, undo check-ins, and reset credentials.\nNavigation varies slightly by role:\n\nSecurity Managers see Visitor Home, My Visitors, Vendor Visitors, All Visitor Directory, and Watch List.\n\nTenant Security Managers have a restricted view limited to visitors associated with their tenant when that setting is enabled by the property team.\n\nAll visitor check-in actions start from the Visitors module in the Dashboard. The Visitor Home page helps teams quickly find the right visitors using predefined views such as Expected Today, Checked In, and All Scheduled, along with search and filters. Only visitors with a visit scheduled for the current date are eligible to be checked in.\n\nChecking In an Individual Visitor\n\nChecking In Visitors in Bulk\n\nChecking In by Scanning an ID\n\nAutomatic Check-In Using a QR Code at a Turnstile\n\nPhotos and Badges During Check-In\n\nCredential Status\n\nUndo Check-In\n\nReset Credentials\n\nImportant Behavior to Know\n\nRelated Actions\n\nChecking In an Individual Visitor\nUse individual check-in when a single visitor arrives and needs to be checked in manually.\n\nNavigate to Dashboard → Visitor Home\n\nUse the Expected Today view, search, or filters to locate the visitor\n\nConfirm the visitor's status is Not Checked In\n\nSelect Check In button from the visitor's row\n\nAfter check-in, the visitor's status updates immediately and the system records the check-in time automatically. The visitor will now appear in the Checked In view.\nFor visitors with recurring visits, the Visitor Details drawer displays the visit dates, including the scheduled at time.\n\nChecking In Visitors in Bulk\nUse bulk check-in when multiple visitors arrive at the same time.\n\nNavigate to Dashboard → Visitor Home\n\nUse Expected Today or All Scheduled to find the relevant visitors\n\nSelect the checkboxes next to each visitor you want to check in\n\nReview your selection to confirm accuracy\n\nSelect Check In from the bulk actions menu\n\nEach selected visitor is checked in individually, and a check-in timestamp is recorded for each visitor. Once completed, those visitors move into the Checked In view.\nChecking In by Scanning an ID\nFront-desk staff can also check a visitor in by scanning a QR code, a driver’s license, or a passport using a scanner connected to the computer running the Dashboard. Licenses and passports are matched against the visitors expected today, so the visitor does not need to be looked up by name. For setup and full behavior, see Using ID Scanning for Visitor Registration and Check-in.\nWhat happens depends on the credential that is scanned:\n\nQR code – a match opens the check-in form directly.\n\nDriver’s license or passport – the first and last name are read and fuzzy-matched against the visitors expected today, then a modal opens listing every candidate with their tenant or vendor, host, and expected time.\n\nCandidates are not ranked or scored. Review the details on each row and select Check In on the correct one. If none of the candidates is the person at the desk, select None of these – Add as New Visitor to open the New Visitor form with the scanned first and last name already filled in.\nIf nobody expected today has a similar name, the modal offers Add as New Visitor only. This registers a walk-in rather than checking in a scheduled visitor – see Visitor Registration: Property Teams.\nScanning at the front desk is controlled by the ID Scanning toggle in the header of the Visitors page. Only the first and last name are used. Cove does not display or store the date of birth, document number, or any other field from a scanned license or passport.\n\nAutomatic Check-In Using a QR Code at a Turnstile\nIn specific integrations, Visitors can also be checked in automatically when they scan their QR code at a connected turnstile or entry point. This is by using Event Stream data from the visitor access control integration to relay the successful entry scan messaging to Cove.\nThis is separate from scanning at the front desk. A turnstile scan checks the visitor in automatically with no action from staff, while a front-desk scan opens the check-in form or a list of candidates for staff to confirm.\nWhat Happens When a Visitor Scans Their QR Code\nWhen a visitor scans their QR code:\n\nThe system validates the QR code against the visitor's scheduled visit\n\nIf the visit is valid for the current date and allowed access window, access is granted\n\nThe access event automatically checks the visitor in\n\nThe check-in time is recorded and reflected in the Dashboard\n\nNo manual action is required by property staff.\nWhat the Property Team Sees\nAfter a successful scan:\n\nThe visitor's status updates to Checked In\n\nThe check-in time reflects when the QR code was scanned\n\nThe visitor appears in the Checked In view of the Visitor home table\n\nWhen Automatic Check-In Does Not Occur\nAutomatic check-in will not occur if:\n\nThe visit is scheduled for a future or past date\n\nThe visitor arrives outside of allowed access times\n\nThe QR code is invalid, expired, or already used\n\nThe visitor is associated with a different property\n\nYou do not have the integration set up for an Event Stream type check-in\n\nIn these cases, access is denied and the visitor remains visible as Not Checked In in the Visitor table.\nPhotos and Badges During Check-In\nDepending on how the property is configured, visitor check-in may include capturing a photo and issuing a visitor badge. These steps support on-site identification and security but are not required at every property.\nVisitor Photos\nSome properties require a photo to be captured as part of the check-in process.\n\nA photo can be taken during individual manual check-in from the Dashboard\n\nIf photo capture is required, individual check-in cannot be completed until a photo is taken\n\nThe photo is associated with the visitor's active visit\n\nPhotos are visible to authorized users for identification purposes\n\nBulk check-in does not prompt for photo capture.\nWhen visitors are checked in using bulk actions, the system completes the check-in without requiring photos, even if photo capture is enabled at the property.\n\nVisitor Badges\n\nBadges can be issued during or after check-in.\n\nBadges are typically printed once a visitor is checked in\n\nBadge details are tied to the visitor's active visit\n\nBadges help staff visually identify visitors while they are on-site\n\nBadge formats and requirements depend on property settings\n\nIssuing a badge does not change the visitor's check-in status.\nNote: Badges can be printed before the visit date. However, for properties using certain access control integrations, the QR code on the badge may not be available until the visitor credential has been created in the ACS system, which typically occurs a few hours before the visit. If a pre-printed badge is missing a QR code, this is likely the reason. Contact your Customer Success Manager for guidance specific to your integration.\nAutomatic Check-In and Photos or Badges\nWhen a visitor is checked in automatically through a QR code scan at a turnstile:\n\nThe visitor is marked as Checked In without manual interaction\n\nA photo is not captured automatically\n\nA badge is not printed automatically\n\nIf a photo or badge is required, property staff must complete those steps separately after the automatic check-in.\nCredential Status\nFor properties with an access control integration, the visitor table includes a Credential Status column that reflects whether a visitor's access credential has been successfully created. Statuses are:\n\nScheduled (grey): The credential is queued and will be created ahead of the visit.\n\nSuccess (green): The credential was created successfully.\n\nFailure/ Please Resubmit (red): The credential failed to be created. When a credential fails, the visitor's first and last name will appear in red, and both the check-in button and badge print icon will be disabled.\n\nIf a credential shows a Failed status, click the retry icon next to the visitor to attempt to create the credential again. If the retry continues to fail, re-register the visitor as a new visit.\nNote: A failed credential means the visitor's access pass will not work at turnstiles or entry points until the credential is successfully created or the visitor is re-registered.\nUndo Check-In\nCheck-ins can be undone from the Visitor Home table when needed. Undo check-in is not available for visits listed in the Past tab or for dates before today.\n\nUndoing a single visitor’s check-in now sends a cancellation email to the host\n\nThe email reuses the arrival template, with the subject changed to “Visitor check-in was cancelled”\n\nAt non-ACS sites: Undoing a check-in removes the check-in timestamp and returns the visitor to Expected status.\nAt ACS-enabled sites with Activate on Check-In enabled: Undoing a check-in also revokes the visitor's credential in the access control system in addition to resetting the check-in status.\nReset Credentials\nThe Reset Credentials bulk action re-creates visitor credentials for selected visits. This is needed when a building's setup changes in a material way, such as when a new access control integration is enabled after visitors have already been registered, or when an ACS system is replaced. Without resetting credentials, previously registered visitors may not have valid passes for the new integration.\nTo reset credentials:\n\nNavigate to the Visitors module and select the visits that need credentials reset.\n\nOpen the Bulk Actions menu and select Reset Credentials.\n\nThe system will re-create credentials for all selected visits in the background.\nImportant Behavior to Know\n\nVisitors can only be checked in on their scheduled visit date\n\nAutomatic and manual check-in follow the same status rules\n\nA visitor can only be checked in once\n\nScanning a QR code after a manual check-in does not create a duplicate check-in\n\nIf Activate on Check-in is enabled for the property, a visitor's access is not enabled until they are checked in, either manually by staff or automatically through a valid access scan\n\nIf a visitor's credential has failed, the check-in button and badge print icon will be disabled until the credential is successfully created or the visitor is re-registered.\n\nWhen the ID Scanning toggle is off, scans are ignored entirely. Nothing is read and no message appears on screen.\n\nThe ID Scanning toggle is session-scoped. It stays as you set it while you are on the Visitors page and returns to on the next time the page is opened.\n\nThe ID Scanning toggle does not detect whether a scanner is connected, so it shows as on even when no device is attached.\n\nRelated Actions\n\nVisitors can be checked out later using the Check Out action\n\nVisitors who never arrive remain Not Checked In\n\nBulk actions only apply to visitors currently visible and selected in the table\n\nHosts can receive an SMS notification when their visitor checks in if SMS notifications are enabled at the site.","capture_id":"bd1f7624d74158175b8f525a6effc46cfe7f9c204c1c64e7ceb0832e099e9ea0","captured_at":"2026-10-12T13:27:55.620Z","published_at":null,"indexed_at":"2026-10-12T13:27:55.656Z","truncated":0,"scope_tier":"primary","monitor_reason":"","last_error":null,"last_attempt_at":"2026-10-12T13:27:54.825Z","enabled":1,"evidence_notes":[],"text_available":true,"media":["https://support.cove.is/hc/article_attachments/44364133574804","https://support.cove.is/hc/article_attachments/53625744266260","https://support.cove.is/hc/article_attachments/44364133578260","https://support.cove.is/hc/article_attachments/53626219404564","https://support.cove.is/hc/article_attachments/44364679417492","https://support.cove.is/hc/article_attachments/53626386310676","https://support.cove.is/hc/article_attachments/53626370726804","https://support.cove.is/hc/article_attachments/53626370727316","https://support.cove.is/hc/article_attachments/53625759013780","https://support.cove.is/hc/article_attachments/53625759014932"],"interpretation":"Unreviewed source evidence.
