It's visible and usable only there.\n\nA global vendor is one record at the account level. It can be linked to one or more properties and is never duplicated — it's a single shared entity across your portfolio.\n\n* * *\n\n# How it works\n\n## Property vendors vs. global vendors\n\n|     |     |     |\n| --- | --- | --- |\n|  | Property vendor | Global vendor |\n| Record | One record, one property | One record, account-level, visible to all properties, never duplicated |\n| Created by | Property admin | Property admin (if permission enabled) or global admin |\n| Edited in | Property page | Settings → Account → Vendors → Directory → Vendor profile |\n| Shows in Property vendors | At its property; also in the account directory with a property badge | Only at properties it's linked to |\n\n## The Verified badge\n\nVerified is a badge that a global admin can apply to a global vendor. It signals account-level approval, typically backed by a master contract or other centralized validation. This makes it a global record.\n\n2. **Upgrade or merge** — a global admin upgrades an existing property vendor to global, or merges duplicate property vendors into one global record.\n\n3. **Create directly** — a global admin creates a global vendor under Account Settings.\n\nWhether property admins can create global vendors (option 1) is controlled by a global admin in **Settings → Account → Vendors → General**. If a vendor doesn't need COI tracking at a specific property, use the **Do Not Track COI** toggle on that vendor at that property. It then appears as one record that can be linked to any property.\n\n## Deciding whether a vendor should stay property-level or become global\n\nIf a vendor only ever works at one property, keep it as a property vendor. If it works across your portfolio, make it global so there's a single record instead of duplicates — and so a global admin can Verify it if needed.\n\n## A vendor shouldn't be tracked for COI at one property\n\nTurn on **Do Not Track COI** for that vendor at that specific property. The vendor's COI tracking at any other property it's linked to is unaffected.\n\n* * *\n\n# FAQ\n\n- **Does linking a global vendor to a property make it visible everywhere?**\n\n  - No. A global vendor only appears at the properties it's linked to. Being global doesn't make it visible across the whole portfolio automatically.\n\n- **Can property admins create global vendors?**\n\n  - Only if a global admin has enabled that permission in Settings → Account → Vendors → General. Otherwise, property admins can only create property vendors.\n\n- **What happens to a property vendor's contacts, COIs, and work orders when it's merged into a global vendor?**\n\n  - Each property keeps its own contacts, COIs, and work orders. Only the core vendor record becomes one shared global entity.\n\n- **Does the Verified badge affect where a vendor shows up?**\n\n  - No. Verified is a status, not a visibility setting. A Verified global vendor still only appears at the properties it's linked to.\n\n- **Can I stop tracking COI for a vendor at just one property?**\n\n  - Yes. Use the Do Not Track COI toggle on that vendor at that property.
